Main Operation Modes
J-FORMS takes into account the manner of cooperation with various groups
of business partners depending on the chosen type of communication. Documents
can be distributed either in a secure publishing mode via the Internet,
in the mode of active document distribution to partners in the form of
data messages sent using The publishing mode is suitable primarily for small and medium-size suppliers who do not process the received documents in a fully automated mode. They can, after appropriate certification, view their documents in J-FORMS using an HTML browser, transform them as required to RTF, XML or XLS format, download the document or print it out. By secure HTML transactions, they can also control the selection, modify, accept, reject and monitor the movements and status of business documents. All communications are secured by the HTTPS protocol. The active data transfer mode is suitable primarily for large partners, being an automatic document distribution system using the FTP (X.400) and SMTP protocols, delivering the documents in an electronic form right to the supplier's computer system. In the event the supplier does not have the ability to set this up, we will provide them with a copy of our SR2000 software, which securely polls our FTP site and allows the user to send and receive EDI type documents. Exchange of the documents in the XML format is suitable primarily for large and medium-size suppliers. The documents are distributed in the secured mode via client application distributed with the J-FORMS system. Documents in XML format can be further transferred to the supplier's internal system. The VAN mode is suitable primarily for suppliers who have existing VAN mailboxes. We are able to deliver the required documents into a VAN, such as GEIS, Innovis, IBM Advantis, or bridge to other VANs from these. The turnaround data entry mode is suitable primarily for small-size suppliers with little in-house IT capability or resources. Return documents, such as invoices, are automatically created mapped upon information originally sent out, such as the purchase order. The supplier can then log into the system, check the turnaround document, modify it if necessary, and then submit the data effectively creating an electronic document for the purchaser. The turnaround significantly reduces manual errors resulting from multiple data entry and saves on administration. The fax output mode is suitable primarily for small-size suppliers with little or no in-house IT, electronic document infrastructure or capability. The documents are distributed via fax. If the supplier has the need to use the fax input mode, we can generate with the output fax, an editable form for the supplier to return to us, to reduce data entry errors. Similar benefits are achieved with respect to data accuracy and administration. The fax input mode is suitable primarily for small-size suppliers with little or no in-house IT, electronic document infrastructure or capability. The documents are received by J-COM via fax or email. J-COM then enters the document into the system on behalf of the supplier. Stands as a natural back-up procedure in case of a system failure by J-COM, the trading partner, or the supplier. |
